90 TOWARDS THE FUTURE OF SUSTAINABLE EXPORTS The Administration Unit is the hub of MATRADE’s administrative management systems across its entire network and community. The unit plans, coordinates, and supervises the use of resources and assets to ensure optimal operations. In 2022, the challenges of the pandemic changed the working environment, leading to the enhancement of monitoring procedures focused on maintaining the health and safety of the MATRADE community. Despite the challenges in task implementation, the unit was able to successfully conduct its core tasks as follows: 1. Sanitisation Operations at Menara MATRADE Since 2020, sanitisation operations have regularly been carried out at Menara MATRADE as a preventative measure to curb the spread of COVID-19. The first large-scale operation was implemented on 24 to 29 March 2020, involving the entire building and Nur Ifty Childcare Centre (TASKA). The operations are a collaborative effort between the Building Emergency Response Team (BERT), appointed contractors, and the Facility Management Unit (UPF). In the event of a reported case, the Unit conducts additional sanitisation services at the office premises of those affected to ensure the safety and health of the MATRADE community. 2.Supply of Face Masks, Hand Sanitisers, and Wet Wipes This initiative aims to ensure cleanliness, thereby guaranteeing personal health and a safe environment. 3.MATRADE Foreign Trade Office Cost-Saving Initiative Following the Guidelines for Public Expenditure Savings issued by the Chief Secretary to the Treasury on 14 July 2022, shortterm and long-term cost-saving initiatives have been launched, including at MATRADE’s foreign trade offices. One such initiative involves the proposal to reduce office space, which could result in savings in rental costs of more than RM3 million per year. 4. Joint Department Meeting (MBJ) The MBJ is a platform for employees to address servicerelated issues and share their opinions and feedback to the management through appointed representatives. MBJ also serves as a platform for employee representatives to seek advice and contribute to achieving organisational excellence. The AKRAB Programme, launched in 2007, involved 16 pioneers from the organisation, who were officers and staff members. This programme was implemented as part of the application of psychology in human resource management, as outlined in Circular Service Number 18 of 2005. Its main objective is to enhance the effectiveness of human resource management in creating a conducive and harmonious work environment. AKRAB was designed with the concept of “colleagues helping colleagues,” promoting teamwork, camaraderie, harmony, and mutual respect through mentoring sessions and awareness programmes. ADMINISTRATION MBJ held three sessions throughout the year, and some of the approved improvement proposals included: i. Announcement of prayer times through the building’s loudspeakers and the call to prayer performed in the AlMunawarah Surau ii. Implementation of the pay and claim method for travel expenses to the Region of Origin and compassionate allowances for employees who transfer to another Region. The MBJ oversees the MATRADE Employee Awards (APM), which is presented to nominated staff from grades 11 to 52. The nomination process is conducted via poll every quarter.
